In brief
Membership
vzw Semper Ferraris saves your data when you become a member. This data is stored in a secure database of vzw Semper Ferraris vzw, Dennenlaan 21, 3110 Rotselaar. We use your address details to keep you informed of our activities, news and positions. The data is stored for a maximum of 5 years after your membership has ended.
Non-members
If you participate in our activities as a non-member or request information, we will include your data in a secure list. If you do not interact with Semper Ferrairs in any way for 5 years, your data will be deleted. Are you interested in our activities and did you give your express permission to be kept informed? Even then we keep your data in a separate, secure file. You can always let us know that you no longer wish to receive that communication.

Why do we process personal data?
We only use your data for the purposes for which we obtained it. These purposes are:
Management and renewal of memberships
Sending the member sheet
Sending e-newsletters about our operation and the results
Sending invitations to activities
Obtaining prospecting target groups for member recruitment, setting up member recruitment processes and sending mailings for gift and member recruitment
The granting of member benefits to our partners
Prospecting and monitoring contacts with prospective testators and major donors
The management and monitoring of the volunteer base and directorships
Organizing and evaluating courses, webinars, campaigns and other activities

Execution of an agreement, e.g. for membership or registration for a paid activity, we need your data.
We are obliged to keep a number of data, in accordance with legal obligations, e.g. for accounting and subsidy regulations.

Every time you visit our website, Semper Ferraris collects personal information that is necessary to ensure optimal functioning of the site. Semper Ferraris uses so-called “cookies” for this. How long do we keep your personal data?
Semper Ferraris does not store your personal data longer than necessary to achieve the purpose for which it was provided or as required by law. We use the following retention periods after the last contact you had with us:

Other data from members, volunteers and sympathizers: maximum 5 years

How do we protect your personal data?
We have taken appropriate technical and organizational measures to protect your personal data against misuse or loss.
For example, we have taken the following measures:
All persons who can access your data on behalf of Semper Ferraris are bound to confidentiality.
We have an authorization and authentication policy on all our systems. We use a virus scanner and installed a "firewall".
We make backups of the personal data in order to be able to restore it in the event of physical or technical incidents.
We inform our volunteer about the importance of protecting personal data.
Minors and sensitive data
Semper Ferraris does not process personal data of minors (-16 y) or personal data classified as sensitive, such as medical or judicial data.
Do we pass on your personal data to third parties?
Semper Ferraris treats your data as confidential information and will never sell or rent your data to other organizations or companies. We can provide your data to third parties if this is necessary for the implementation of the purposes described above.
We also use a third party for:
Sending electronic newsletters and mailings
Taking care of and processing surveys, inquiries and information requests
Taking care of the internet environment
Providing an online gift tool
With a limited number of partners, Semper Ferraris may exchange personal data under a cooperation agreement for the granting of member benefits to our members.
Your rights
You have the right to view, copy and correct your data at any time. You can also have your data deleted when it is no longer needed for the purposes for which it was collected. For this you have to make a clear request in which you indicate what you want to know, correct or delete. Our contact details can be found at the bottom of every page on the website. To prevent abuse, this request must be signed and dated and include a copy of the front of your identity card. You must specifically motivate questions to delete data. If these conditions are met, Semper Ferraris will answer your question as soon as possible and inform you about it.
If you object to the processing of certain data, you can always request us to stop this processing.
